Executive Assistant

Muslim Advocates (MA), a national legal advocacy and educational organization that has been fighting to promote freedom, justice, and equality for Americans of all faiths since 2005. In addition to conducting legal advocacy, policy engagement, and civic education, MA utilizes targeted litigation to protect and defend the rights of American Muslims and other marginalized and targeted communities.

Muslim Advocates seeks a dedicated and diligent executive assistant to join our team. We are looking for an experienced professional with exceptional attention to detail to provide executive-level administrative and special project support for the Executive Director and Deputy Executive Director. The executive assistant will support the Executive Director’s fundraising and communications work.This is an opportunity for someone who is proactive, well organized, flexible, and who embraces the administrative opportunities of supporting a dynamic and rapidly growing organization. The executive assistant reports to the Deputy Executive Director and Chief Operating Officer and works closely with all members of the Muslim Advocates team.

Roles and Responsibilities:

  • Manage the Executive Director’s calendar, including making appointments, prioritizing time-sensitive matters, scheduling travel, and preparing itineraries
  • Schedule and organize meetings for Executive and Deputy Director with internal and external parties, including sending reminders, tracking meeting follow-up tasks and any relevant attendee stewardship needs
  • Communicate with external constituents on behalf of the ED by phone and by drafting professional e-mails and letters
  • Project manage Board of Directors meetings and follow-up
  • Support with the execution of fundraising events
  • Support with special projects as needed
  • Retrieve and electronically distribute mail
  • Process and log contributions from donors

Qualifications:

  • At least three years of administrative experience in a professional setting; with at least two directly supporting a senior level professional
  • Ability to understand, identify, and be responsive to Executive Director and institutional priorities
  • Excellent oral and written communication skills
  • Strong organizational and time management skills that enable you to multi-task and prioritize in a fast-paced environment
  • Ability to take initiative responsibly to reach goals efficiently without unnecessary manager direction
  • Creative problem-solver and solutions-oriented, with a high level of flexibility and resourcefulness.
  • Thoroughness and attention to detail.
  • Trustworthy, discreet, and ability to maintain strict confidences and deploy sound judgment when handling sensitive material.
  • Proficient computer skills, particularly Apple, including Microsoft Word, Excel, and PowerPoint and Google services (mail, calendar, documents).
  • A commitment to social justice and Muslim Advocates’ values and mission.

Compensation & Benefits

The salary range for this position is $55-60K, commensurate with experience. Muslim Advocates offers a generous benefits package including full health insurance coverage, fourteen paid holidays, and an employer 401K match.
